| Backup 🛡️ | Cover during absence | When Primary/Overflow are unavailable |
Step 4: Working Hours & Availability
Set team member availability for accurate automatic lead assignment.
Working Schedule
Working Schedule Configuration:
| Day Type | Configuration | Example |
|---|---|---|
| Weekdays | Monday-Friday with custom hours | 09:00 - 18:00 |

Lead Acceptance Process
Understanding how team members receive and accept assigned leads:
Notification Received
Team member gets notification via:
- In-app notification
- Email alert
- WhatsApp message (if configured)
Lead Preview
Notification includes lead preview with key information:
- Contact details
- Lead source
- Initial notes or context
Accept Assignment
Team member must click “Accept” in notification to receive the lead
Lead Appears
Only after acceptance does the lead appear in their Active Leads workspace
Important: Leads don’t automatically appear in Active Leads. Team members must accept the notification first. This ensures accountability and prevents leads from being overlooked.
Notification Types
Assignee Notifications
Notifications for Assignees:
| Notification Type | Content | Action Required |
|---|---|---|
| New Lead | Single lead assigned with details | Click “Accept” |
| Bulk Assignment | Multiple leads assigned count | Review and accept each |
| Lead Details | Preview before acceptance | Decision to accept/decline |
| Reassignment | Lead transferred from another member | Accept new assignment |
Team Member Roles Explained
Understanding the three-tier assignment system:
| Role | Responsibility | Example Scenario |
|---|---|---|
| Primary Members 🎯 | Handle day-to-day lead volume, immediate response capability | Sales reps, account managers |
| Overflow Members 📈 | Activate when Primary reaches capacity, handle peak periods | Senior reps, part-time staff |
| Backup Members 🛡️ | Cover during holidays/rest days, emergency coverage | Managers, cross-trained staff |
Assignment Flow:
- New lead arrives → Assigned to available Primary member
- Primary at capacity → Overflows to Overflow member
- Overflow unavailable → Routes to Backup member
- All busy → Queues until capacity available
